Coaching Institute Fee Defaulter List Format in Excel (Free Template)
A coaching fee defaulter list should contain student name, batch, parent contact, fee period, original amount, paid amount, exact balance, due date, days overdue, last follow-up, promise date and next action. Names plus “pending” are not enough to collect money.
Parents may search for a payment screenshot; owners may use the word “defaulter”. Inside your team, a better name is pending-fee worklist. It keeps the process factual: what is due, since when, what was already paid, and what happens next.

Excel columns that make the list actionable
| Column | Example | Why it matters |
|---|---|---|
| Student + batch | Aarav · Class 10 Evening | Stops same-name and wrong-batch reminders |
| Fee period | Nov 2026 · Instalment 2/4 | Tells the parent what the money is for |
| Original / paid / balance | ₹3,000 / ₹1,000 / ₹2,000 | Partial payer is not chased for the full amount |
| Due date | 5 Nov 2026 | Produces days overdue and priority |
| Last follow-up | WhatsApp · 9 Nov | Prevents daily spam from two staff members |
| Promise date | 12 Nov | Separates “forgot” from an agreed payment date |
| Next action / owner | Call Friday · Neha | Turns a report into assigned work |
Useful Excel formulas
Suppose F is Original Fee, G is Paid, H is Balance, and I is Due Date:
Balance: =MAX(0,F2-G2)
Days overdue: =MAX(0,TODAY()-I2)
Status: =IF(H2=0,"Paid",IF(TODAY()>I2,"Overdue","Due"))
Do not calculate balance from memory after each WhatsApp. Enter every cash or UPI payment as its own dated record, then let the balance update.
How to prioritise follow-up
Sorting only by amount misses old balances; sorting only by overdue days may put a ₹200 material charge above a ₹20,000 course instalment. Use three queues:
- Due soon: reminder before the due date, not after.
- Recently overdue: friendly WhatsApp with student, period, balance and due date.
- High-risk overdue: high balance, repeated delay, broken promise date or student disengagement—owner call, not repeated template spam.
For deeper prioritisation, read who to chase first for overdue tuition fees. That article explains risk ordering; this page is the spreadsheet format.
The five mistakes that corrupt a defaulter list
- One row overwritten every month: you lose which period the balance belongs to.
- Partial payment marked “paid”: the remaining balance disappears.
- UPI screenshot treated as the ledger: screenshot name may not match the student.
- No last-contact date: parents receive duplicate reminders.
- No receipt number: disputes restart even after payment.
Daily, weekly and month-end routine
Every payment
Enter cash/UPI immediately, update balance, issue receipt.
Twice weekly
Work due-soon and overdue queues; record replies and promise dates.
Month end
Expected minus collected must equal open balance; carry each balance with its period.
When to move beyond Excel
Excel is enough when one person updates every payment the same day and the list stays small. Move to a fee app when UPI lands on one phone, staff follow up from another, partial payments are common, or you rebuild the overdue list every week. TutorPe keeps the student, fee period, partial balance, reminder and receipt in one profile; it does not move or hold the parent’s money.
