A coaching institute does not fail because it has too many batches. It fails because Class 10 Morning, Class 10 Evening, and Class 12 Crash sit in one notebook. Fees mix. Attendance mixes. A parent of an evening student gets a morning reminder. In 2026 that looks unprofessional — and it is how money leaks.

You do not need a school ERP. You need one named batch per timing, each student in the right batch, and an overdue list you can filter. That is the whole system.

What “a batch” should mean

A batch is not “all Class 10 kids.” A batch is a group that shares class + timing (and usually the same monthly fee). Examples that stay clean:

Class 9 — Morning 7–8 AM
Class 10 — Evening 6–8 PM
Class 12 — Weekend crash
NEET — Repeaters (separate fee from first-timers)

If two groups pay different fees or sit at different hours, they are two batches. Mixing them to “fill seats” is how you lose track of who is due.

The 2026 mess (why Excel breaks at 3 batches)

Paper registers fail the same way: you cannot see this batch’s pending fees in 20 seconds on Sunday.

Rule 1 — Create the batch before you add 40 names

Name it the way you speak on WhatsApp: class + slot. Set the default monthly fee once. Then every new admission picks that batch instead of typing a new spelling.

On TutorPe: open Batches → Create batch. Enter batch name (e.g. Morning 7–8), class (e.g. 10), and the usual fee. That template is what “Quick select batch” uses when you add a student.

Rule 2 — One student card, one primary batch (unless they pay for two subjects)

Most children pay one bundle fee for the full slot. Put them in that batch. Home tuition is not a batch — keep it on the Home tab so evening centre kids are not mixed with door-to-door students.

If a Class 12 student pays Physics morning and Maths evening separately, that is not one batch with a note. That is two subject lines with two fees. TutorPe supports this as optional extra subjects — only open it when the child actually pays per subject. Do not turn it on for everyone; it is how the add-student form starts to feel hard.

Rule 3 — Collect fees per batch, not “the whole centre”

On the 1st–5th, you do not need a new invoice file per child. You need: who in Morning 7–8 is still due? Filter overdue to that batch, WhatsApp from your number, mark paid, send a PDF receipt.

On TutorPe: Dashboard has a batch filter. The Batches page shows headcount, expected fees, and how many are overdue in each slot. Reminders and the overdue list follow the same filter. Due dates roll when you mark paid — you do not click “generate April pending” for 80 names.

Rule 4 — Attendance and class time follow the same names

If the fee batch is “Class 10 Evening” but the attendance sheet says “10th 6pm”, you will mark the wrong room. Use the same batch name on Students, Attendance, and Schedule.

On TutorPe: Attendance search includes batch name. Schedule can be tied to a batch so today’s class card matches the students you actually teach. If you need a parent ping 30 minutes before class, that flow uses the same batch match — still you send WhatsApp; it is not a silent Cloud API blast.

Rule 5 — Moving a student is an edit, not a new admission

Morning to evening mid-month is common. Do not create a second student. Edit the batch (or use Batches → rename / move when you delete a slot). Keep the same phone and payment history so the parent is one person in your ledger.
