Coaching Centre Fee Refund Policy in India: Owner Checklist & Template (2026)
A coaching-centre refund policy should state who can request an exit, how to request it, the effective exit date, which delivered and unused services are counted, how any pro-rata amount is calculated, what records are required, the response timeline, refund method and grievance contact. “No refund under any circumstances” is not a complete operating policy.
This owner guide is based on the Government of India’s 2024 model guidelines and official 2026 updates. It is general operational information, not legal advice. Coaching regulation is implemented through state/UT frameworks, and the rules applying to an academic coaching centre can differ from those for a home tutor, dance studio or sports academy.
Do not copy a nationwide “legal guarantee” from a blog
The Ministry’s 2024 document was sent to States and UTs as a model framework for adoption. Its definition of a coaching centre refers to academic coaching for more than 50 students and excludes activities such as sports, dance and theatre. Your state’s current act, rules, registration conditions and consumer-law obligations need to be checked separately.
What the official central model says
Section 8 of the Ministry of Education’s Guidelines for Regulation of Coaching Center, January 2024 says fees should be fair and reasonable, fee receipts should be available, and the prospectus should state course duration, number of classes, fees, easy-exit and refund details. For a student who paid a course in full and leaves mid-course, the model describes a pro-rata refund for the remaining period within 10 days.
That wording matters, but so does its status: the same document explains that States/UTs should adopt an appropriate legal framework. An August 2026 Parliament reply reported that multiple States and UTs had since introduced coaching rules or laws. An owner should therefore check the current rule for the location of each branch.
Why refund disclosure is now a search and trust issue
Parents increasingly search the institute name plus “refund policy” before paying a large course fee. Hiding the policy until after payment creates disputes and poor word of mouth. The 2026 Parliament reply says websites should show fees, easy-exit and refund-policy details. The Central Consumer Protection Authority also prohibits misleading claims about fees and refund policies in coaching advertising.
The CCPA’s November 2024 announcement specifically lists false claims about course duration, fees and refund policies among prohibited advertising practices. So the brochure, counsellor’s WhatsApp message, admission form and website must tell the same story.
Refund-policy template for owners

Calculation basis: Total fee received ₹[__]; service/course period [__ to __]; classes or period delivered [__]; unused eligible period [__]; separately disclosed items/deductions, if legally permitted [__]; proposed refund ₹[__].
Payment method: Approved refunds are returned to [original payment method / verified bank account] within the timeline required by applicable law/policy.

Applicable rules: This policy is subject to the current law/rules of [State/UT] and any mandatory consumer-protection requirements. Where those rules provide greater rights, they prevail.
Do not publish the bracketed version unchanged. Have a qualified local professional review the final policy for your state, centre size, course structure and registration conditions.
How to create a transparent pro-rata statement
The simplest audit trail works in periods, not emotions. Example only: a six-month course fee is ₹30,000, the student exits after two completed months, and the applicable policy/rule calls for straight-line pro-rata treatment. The delivered portion is 2/6; the unused portion is 4/6. The calculation sheet should show those dates and amounts, plus only deductions that are clearly disclosed and legally permitted.
| Record | Example |
|---|---|
| Course period | 1 Jul–31 Dec (6 months) |
| Fee received | ₹30,000 · receipt R-104 |
| Effective exit | 31 Aug |
| Delivered / unused | 2 months / 4 months |
| Illustrative unused portion | ₹30,000 × 4/6 = ₹20,000 |
This arithmetic is an illustration, not a conclusion about what any particular institute must refund. The governing rule, contract fairness, course delivery, separately supplied items and facts of the case all matter.
The records your fee system must preserve
- Signed admission form and the exact policy version accepted.
- Course/batch start and scheduled end dates.
- Every payment, mode, date, payer and receipt number.
- Partial payments and the balance after each payment.
- Written exit request and acknowledgement timestamp.
- Classes/period delivered and the calculation statement.
- Approval, refund transaction reference and closure message.
A UPI screenshot alone does not establish which student, course or fee period the payment covered. Record payment against the student and issue a dated receipt. See the digital fee receipt guide.
Owner checklist before the next admission season
- Check the latest State/UT coaching rules for every branch.
- Put the same fee, exit and refund wording on the website, prospectus and admission form.
- Stop counsellors from inventing verbal exceptions at the desk.
- Give a receipt for every amount received, including registration and partial payments.
- Create a written request channel and responsible staff owner.
- Give the family a line-by-line calculation instead of only “approved/rejected”.
- Keep a complaint and escalation record.
- Review marketing claims about ranks, success and guaranteed outcomes.
What TutorPe helps with—and what it does not
TutorPe can keep student payments, partial balances and PDF receipts together, which makes the factual payment history easier to retrieve. It does not decide legal eligibility, calculate a legally binding refund, replace a lawyer, or move money back to the payer. The owner remains responsible for the applicable policy and refund process.
Make every fee traceable before a dispute
Record the student, fee period, amount and payment mode; share the receipt the same day. Clear records make any later calculation easier.
